SACRED HEART PARISH Board of Total Catholic EducationMeeting Minutes Thursday, March 15, 2007 Present: Mark Fuller, Penny Demerath, Lois Maczuzak, Sr. Gemma, Fred Ponschok, Denise Stueck, Tom Berg, Becky Dillenberg, Amy Koeller Excused: Brenda Onesti, Nancy Schauer, Ron Henn, Alex Schreiner, Correen Lewis, Father Len Meeting was called to order by Fuller at 6 pm. Opening Prayer was held. Approval of Agenda: Ponschok motioned, Berg seconded, motion carried. Approval of Minutes of February 2007: Stueck motioned, Dillenberg seconded, motioned carried. With corrections—Famine not Fast was at Peace Church, made rosaries, didn’t say rosary. Update on youth ministry/Vital Program—Amy Koeller. See Handout. 20 hour Famine went very well. Next event is “Reality Check” for students going into 8 th to 12 th grade. Frank from GB Diocese will be here for meeting to help tailor our program to meet needs of our parish. He will be here 8 times in next 2 years to help with our youth ministry program. Good turn out at last youth ministry meeting—lots of youth from parish attended and very enthusiastic. Old Business: Increasing enrollment; marketing school to parish members and public. Sr Gemma suggested to have a “Buddy Bears program” (students in SHCS would send cards to just baptized babies from parish and continue correspondence until school age so as to develop a relationship and hopefully, eventually increase enrollment). Lois has considered it but would be a long term solution to increase enrollment. Lois reported 118 as projected enrollment for 07-08. Finance Council is currently budgeting for 130. To have a Preschool program we would need at least 10 to 15 enrolled to break even with expenses of salary, benefits and supplies. Koeller mentioned that an area parish made $60,000 on an annual, large scale silent/live auction. Stueck reminded the board that the 125 th Anniv Celebration is tied to a fundraiser—The SHCS Alumni Foundation is seeking donations and has already received $1500. The goal of this foundation is to give $30,000 to the school each year. Stueck urged board members and Parish Council to be supportive of this event/fundraiser. Lois will seek funds from Tribal Legislators to subsidize those families who are unable to pay tuition. Denise will remind Lynn at parish center to email minutes from finance to board and from parish council to board. Lois report no recent safety issues at the school. New Business: School tuition was discussed. Board agreed on a reasonable increase and has set tuition for 07-08 as follows, one student: $1275, two students: $2450, three students: $3600, $100 per child thereafter. Seventeen letters were sent to non-contributing school families on Feb 28 th. Two families have responded. Will need to meet with those who haven’t responded. Will review process of tuition assistance at next meeting. Status of recent parish interest survey—tabled. Review drafted policy on “Expenditure”—tabled. Nancy previously agreed to attend April 17 th Finance Council meeting (will finalize budget). Fred will ask if she will also attend March 27 th meeting. Proposed meeting change: meet the 2 nd Thursday of each month. Will discuss at next meeting. Lois wanted everyone to remember to attend 12 th of April at 7pm, Father Brito is scheduled to speak. Lois presented a fund raising activity proposed by the 7 th grade: Got Dip Packets. 50% profit, will sell for $5. Sale will be 5/14-5/18 and 5/31 at spring concert. Unanimously approved by board. Approval of Financial Statements—RE and School—tabled. Informational Reports: School Administrator—see above comments. DRE: First Communion preparation schedule moved back, will start next Sunday, Prayer services during Lent are going well. Safe touch is in progress, completed through 6 th grade. RCIA retreat is April 3 rd, Sr Gemma is planning this. VBS is being planned for June 18 th – 22 nd, afternoons 12:45-4:00 for 1-6 th grade students. Fish theme is planned.
