Approved Meeting Minutes
In Attendance: Tom Berg, Paul Brulla, Fred Ponschok, Fr. Len, Penny Demerath, MaryEllen Waldvogel, Becky Dillenburg, Lois Maczuzak, Cindy Swiecichowski
Opening Prayer: Our Father.
Introduction of Guests: None.
Additions to Agenda: Fred wished to add discussion of the Stewardship Fair. This was added as item F. under New Business. Order of Executive Session moved to be held after adjourning, as this is intended for voting members only.
Approval of Minutes/Financial Statements: Minutes from September were approved as written with exception that Fred's last name was misspelled. This has been corrected. The Financial statements were reviewed at length; few adjustments need to be made as a result of the new program that is being used. The statements were approved.
Correspondence: None.
Open Forum: None.
Old Business: MaryEllen had approached Nancy Shauer to replace Steve Zais who had resigned from the Board. Nancy was unable to attend this meeting, but will be joining us next month and filling the vacancy. Comments from the Sacred Heart Parish Day of Reflection included hope that things will continue to move forward from the many good ideas that were brought forward. Greeters at the church entrances, is a result of this and has generated good response. A list of the day's results will be in this weekend's bulletin.
New Business: Policies 1005, 3005 and 3015 were not reviewed as planned. This has been tabled until policy 3025 has been revised. A draft of policy 3025 will be included with November agenda so members may have a chance to review this along with the above policies at the same time. Since reaccreditation was just completed successfully last year, we have no immediate plans for this. As the time nears, it will be addressed accordingly. Participation at the Board Inservice at the Diocesan Office will be discussed at the November meeting due to lack of information at this time. Participation in ACRE testing will not be performed this year, as this had not been included in our budgeting for the fiscal year. MaryEllen will check when this was last performed and the costs involved so we may budget for this accordingly. The Stewardship Fair is planned for October 30-31, which will be held in the Gathering Space. There is a tri-fold board available for us to use to promote our committee to the parish members. Tom, Paul and Cindy are available to take a shift in representing the Board of Total Catholic Education at the Stewardship Fair.
Informational reports:
A. Pastoral Office - Fr. Len reports that Nov. 10 is Eucharistic Day. This day will begin with a morning mass, and adoration in ½ to 1 hour shifts throughout the day until benediction at the end of the day. High school students are encouraged to attend.
B. Director of Religious Ed - MaryEllen report 321 students in religious education, 48 confirmation students, 2 RCIA candidates. Catechetical Sunday went well. Two vans of students attended Youth Jam. Three catechists from religious ed attended The Gathering. The Net team attendance was lower than anticipated. Only 19 out of 30 possible students attended.
C. School Administrator - 141 students are registered. Lost 2 students due to family relocating. November 11 is date of Parent/Teacher conferences beginning at 3:30- 6:00. Booths will be set up in the gymnasium. Home and School meeting will be held at 6:00. After the meeting ends, conferences will continue until 8:00. Sessions will also be held on Nov. 12 in the morning for those unable to attend on the 11th. 125 more calendars have been ordered. The cost of printing and payouts are already covered by current sales, any additional sales will be a profit. Lois attended three meetings with principals of the diocese along with Bishop Zubic. The Bishop shows great support of catholic schools. Even though our contract has expired, the grant writer (Nicki) is still is working on finding financial support through the grants she had completed last year.
D. Pastoral Council - Fred reports that a letter regarding Phase II was sent to all parishioners. Building and Grounds reports that the landscaping and retaining wall projects have been completed around the addition to the church. Many parish members came to help and the area looks very nice after completion. The project of replacing the steps entering the Center has been postponed until next year. Revenue and expenses seem to be fair for the beginning of the fiscal year. October fish fry went better than September. Fish fries will continue on the 2nd Friday of every month with the exception of no fish fry in December. We now have two stands in the atrium for the Packer games. Two vacancies still remain on the Council.
E. Athletic Committee - Tom reports that the committee is looking into purchasing a new refrigerator. They are still gathering information on costs, but wanted to let us know that they are planning on this purchase. This information will be passed on to the Pastoral Council.
F. Home and School Association - The recent book fair had a good response. New books will be purchased for the library from the proceeds of the book fair. Linda Meisner will be checking into the problem of wood chips from the playground falling out onto the sidewalk as reported by Penny.
G. Committee reports:
i. Personnel - no report.
ii. Budget Proposal - no report.
iii. Policy - Need to schedule a meeting to review policy 3025.
iv. Development - Fred is having an article published in the Parish Pulse on past Sacred Heart students that achieved Honor Roll status at the high school.
v. Technology - Meeting is being planned. Software has been distributed throughout the classrooms to encourage more use. Plan to purchase additional printers at Christmas time when they are less expensive.
